Report Spotlight: Physical Inventory Report
The Physical Inventory Report is designed to take a physical count of your inventory.
To access this report, navigate through Menu → Reports → Inventory → Physical Inventory List. Once on the report, you can filter by any number of options, including product detail fields, location, lot, and current quantity on hand.
After other filters are selected, you will need to select an “as of” date to run the inventory counts. Then you will see a list sorted by product → by lot number. Within the information icon, you can find a summary of lines making up the inventory count.
You can use the print icon to print a sample label.
Within the Hamburger Menu, you can print the report as it stands, export to a CSV, or choose to print a blind copy of the report which includes the inventory lines but not the current quantity counts.
Entering a Physical Inventory Count
- Filter the report for the set of inventory you are counting.
- Set the “Physical Inventory Date” that the inventory count is happening on.
- In the Count column, enter the Physical quantity that was counted.
- Optionally, you can enter the bin location found in the warehouse.
Print Discrepancy List
Once the Physical Inventory is completed, you can print a list of the discrepancies by opening the Hamburger Menu and selecting “Print Discrepancies.”
Research your Inventory Discrepancies and create Work Order adjustments if needed.
Creating a Work Order Adjustment
Start by finding the incorrect Inventory ID in your Inventory using the filters. The Inventory ID filter is ideal for such use.
- Open the Gear Icon and select either “Create new Work Order” or “Add to an existing Work Order.”
- If you are creating a new Work Order, select “Physical Adjustment” to change the quantity.
- If you are adding to an existing Work Order, select the Work Order that you wish to add to.
- By default, the quantity pulled will be the quantity available. Modify the quantity that you want to use to adjust the inventory line.
- To reduce the quantity, enter the number of units you wish to take. For example, if the current quantity is 11 and you wish to make it 10, you would enter 1 unit.
- To increase the quantity, enter a “-” sign and the number of units you wish to add. For example, if you currently have 9 units in inventory and it should be 10 units, then enter a quantity of -1.
- Save the line.
- Complete the Work Order from the Hamburger menu or use the back logo to return to Inventory and leave the Work Order open to add additional lines.
- Once all the lines have been added, complete the Work Order using the Hamburger menu.
This Report and process is also available on the iPad to enter the physical inventory counts as you go.
