Returns of Inventory to Vendors

Creating a New Work Order Type

Open the Menu and select System Settings → Advanced Settings tab → Inventory. Above the Work Order Type box, select “Allow Users to Add New Work Order Types.”

Create a new Type and label it as desired (our example is “Vendor Return”). Check “Hide Make” as this Type will only discard products.

Creating a Vendor Return Work Order

Open the Menu, select Inventory, and filter for the Inventory that needs to be returned. Open the Gear Icon and select “Create New Work Order.” Then select the “Vendor Return” Work Order type.

When the Work Order opens, if only a partial amount will be returned, edit the quantity and save the line. If additional lines need to be added, use the “+” on the Take line to search for additional Inventory or close the Work Order and use the “Add to Work Order” option from the Gear Icon in Inventory.

Once all the lines have been added, complete the Work Order. Make note of the account assigned to the Work Order and the value of Inventory that is being returned.

Creating a Vendor Credit Memo

Go to Menu → Vendors → Search for Vendor. Then, go to the Transaction tab, select the +, and select “Vendor Credit Memo.” On that account’s tab, use the + to add a new line.

Search for the account above that the Work Order was set to. Set the value to the value that is listed on the returned Work Order and save the line.

Add additional lines to the correct account if the return credit is different from the value of the Work Order.

Creating a Vendor Payment (if Vendor is Using a Return Check)

Go to Menu → Vendors → Search for Vendor. Then, go to the Transaction tab, select the +, and select “Return Payment.” (You’ll notice that the Vendor Return Payment screen is very similar to the Customer Payment screen).

Enter the Check number or Payment identification number and the date, Payment Type, and Payment Amount. If there are any fees that will reduce the actual received amount, enter them in the Credit Card Fee field.

Select the Open Vendor Credit Memo to offset with this return payment. To leave the Vendor Return Payment, use the back logo.

Creating a Deposit

You can either select “Deposit” from the Add Menu or go to Menu → Reports → Check Register and select “Add Deposit” from the Hamburger menu. Select the Payment issued from the Vendor. Use the back logo to save the deposit.
